Therapist Billing Assistant

An invoicing application designed for therapists to make billing easier. This project is part of the Google UX Design Certificate program.


Problem Statement

Mental health therapists have many clients they see weekly. These professionals need an invoicing app that offers features that cut down on invoicing time.

Project Goals

  • Create an app that helps therapists bill clients directly

  • Empower therapists to take control of invoicing

  • Spee up the invoicing process

User Pain Points

  • Therapists see multiple clients daily, and they have to invoice each of them

  • Therapists have to squeeze time in between clients or set time aside to invoice

  • Billing multiple clients at once is not easy to accomplish on current invoicing platforms

  • Therapists tend to have repeat clients; invoicing these types of clients can be tedious

  • Some therapists require assistive technologies while invoicing

User Research Summary

Moderated user interviews were conducted with therapists and other professionals who regularly invoice their clients directly.

The participants confined initial assumptions about billing clients directly. However, research revealed that time on task was not the only factor limiting users from quickly invoicing their clients. Other problems included billing repeat clients, billing several clients in one tap, or challenges with previous apps that offer similar services.

Two rounds of usability studies were conducted with the low-fidelity prototypes.

The findings from these studies helped guide the design from wireframes to mockups.

The second round of studies used high-fidelity prototypes and revealed more findings to refine the mockups further.

Round 1 Findings

  • Users want to invoice clients quickly

  • Users wish to invoice repeat clients

  • Users wish to have a “one-stop shop” invoicing experience

Round 2 Findings

  • Users need a screen to select multiple clients and invoice them with one tap

  • There needs to be clarity when invoicing new clients

  • Streamline the invoicing process to avoid confusion

High Fidelity Prototypes

The final high-fidelity prototypes presented cleaner user flows for invoicing. They also met user needs for a way to invoice repeat clients with one tap.

What I Learned

Designing an app for therapists to bill their clients taught me about the intricacies of invoicing. Users depend on invoicing apps to maintain and grow their businesses, which makes paying attention to their needs an extremely important task.

Redesigning with Accessibility in Mind

I researched color palettes that align with Web Content Accessibility Guidelines (WCAG) as a primary element for a redesign.

With accessibility in mind, I selected color combinations with a 4.5:1 contrast ratio, adhering to WCAG 2.1 AA standards. This guarantees excellent readability for all text sizes and graphics.
